A Comprehensive Guide to the Budget Dashboard

Managing your budget and understanding how it's being used is crucial for optimizing campaign performance and making data-driven decisions that maximize your ROI. Aspire's Budget Dashboard simplifies this process by providing a clear overview of your budgets and spending, along with valuable insights to guide informed decisions based on spend analysis.

To access your Budget Dashboard, click on Reporting > Budget Dashboard.

Section I: Budgets

The first tab in your Budget Dashboard is Budgets. By default, your Master Budget for the current fiscal year is selected. You can switch to a different budget account or fiscal year using the drop-down menus in the upper-right corner.

Budget Analysis

This section provides a high-level summary of the selected budget account and fiscal year, including Total Budget, Total Allocated, and Total Spent.

Total Budget

The total budget amount set in your Budget settings for the selected budget account.

  • Budget Remaining: [Total Budget – Max(Total Allocated, Allocated Spend) – Direct Spend]

    • If allocated spend exceeds the allocated amount, the allocated spend value is used in the calculation.

  • % Budget Used: [(Total Budget − Budget Remaining) / Total Budget] × 100

  • % Budget Remaining: (Budget Remaining / Total Budget) x 100

Total Allocated

The total amount allocated to project budgets or budget accounts.

  • % of Total Budget: Total Allocated / Total Budget

  • Allocated to Projects: The sum of the amounts allocated to project budgets.

  • Allocated to Accounts: The sum of the amounts allocated to budget accounts.

Total Spent

The total amount spent, including payments from both allocated budgets and directly from the budget account.

  • % of Total Budget: Total Spent / Total Budget

  • In Budget: The total amount spent directly from the budget account.

  • In Allocated Budget: The total amount spent from the allocated budget.

Allocated To

This section displays the budget accounts and projects that are funded by the selected budget account. On the right-hand side, you can toggle between Budgets and Projects.

Budgets

If a budget account is allocated to other budgets, the “Splits to” column will display those budget accounts. The other columns show the following details for each budget account:

  • Amount Budgeted

  • Total Allocated

  • Total Spent

  • Total Remaining

Note: Only budget accounts for the selected fiscal year will be visible.

To edit a budget account, click the icon on the far right of the budget account, and you'll be redirected to your budget settings.

Projects

For each project, you’ll see the budget account(s) connected to the project, along with the following details:

  • Amount Budgeted

  • Total Spent

  • Total Remaining

Note: Only budget accounts for the selected fiscal year will be visible.

To edit a project's budget, click the icon on the far right of the project, and you'll be redirected to your project settings.

Section I.I: Budget Spend Analysis

This section provides a detailed breakdown of your spending activity for the selected budget account and fiscal year. Use this analysis to track spending trends and make adjustments to resource allocation as needed to optimize campaign performance.

Total Spend

This chart displays your total spend and how it’s distributed across Sales Tracking, Briefs, and Others. The percentage beneath shows the proportion of the total budget being used. This allows you to quickly identify if you're staying within budget or exceeding it, and offers insight into where most of your budget is being allocated.

Average Spend on Creators

This chart highlights the average spend per creator, calculated as: Total Spend / Total Number of Creators

The pie chart illustrates the percentage of payments that were above or below the average.

Spend by Creator Segment

This table shows spending by creator segment (e.g., Micro, Mid, Macro), including the number of creators in each segment, total spend, and average spend per creator. This helps you understand costs by segment, enabling more informed decisions when targeting different creator tiers.

Top Spend

This chart highlights the top 10 creators you’re spending the most on.

Spend Activity

An overview of your spending activity by week, month, or quarter. This chart helps you monitor how your spend is distributed across different time periods and identify any trends or fluctuations.


Section II: Projects

In the Projects tab, you'll find a report showing the budget account(s) connected to a project. You can select different projects and adjust the fiscal year in the upper right-hand corner.

Project Analysis

This section provides a high-level overview of the Total Budget, Total Allocated to Briefs, and Total Spent in Budget for the selected project and fiscal year.

Total Budget

The total amount allocated to the selected project from the connected budget account(s).

  • Budget Remaining: Total Budget – Total Allocated to Briefs – Total Spent in Budget

  • % Spend: [(Total Budget - Budget Remaining) / Total Budget] x 100

  • % Remaining: (Budget Remaining / Total Budget) x 100

Total Allocated to Briefs

The total amount allocated to briefs associated with the selected project. Once a brief is agreed upon, the payment amount in the brief is considered allocated.

  • % Paid: (Total Paid / Total Allocated to Briefs) × 100

  • % Due: (Total Due / Total Allocated to Briefs) × 100

Total Spent in Budget

The total amount of payments that have been assigned to the project's budget.

  • % of Total Budget: (Total Spent in Budget / Total Budget) × 100

Source

This section displays the budget account(s) connected to the selected project. For each budget account, you'll see the amount budgeted, % proportional, total spend, and amount remaining.

Budget

The amount allocated to the selected project from the budget account. This is defined when connecting the budget account to the project.

% Proportional

The percentage of the total project budget represented by this budget account.

Note: Payments assigned to a project's budget will be divided on the basis of this proportional number.

For example, let's assume there are two budget accounts connected to a project, where Account A = 30% and Account B = 70%. If you send a payment for $1,000 and assign it to the project's budget, $300 will be subtracted from Account A and $700 will be subtracted from Account B.

Total Spend

The total amount of payments assigned to the selected project from this budget account.

Remaining

The amount remaining, calculated as: Remaining = [Total Budget – Max(Total Allocated, Allocated Spend) – Direct Spend]

  • If allocated spend exceeds the allocated amount, the allocated spend value is used in the calculation.


Section II.I: Project Spend Analysis

This section provides a detailed breakdown of your spending activity for the selected project's budget and fiscal year.

Monthly Spend

This chart displays the monthly spend for the selected project's budget and how it is distributed across Briefs, Sales Tracking Commissions, and Others.

Average Spend on Creators

This chart highlights the average spend per creator, calculated as: Total Spend / Total Number of Creators.

The pie chart illustrates the percentage of payments that were above or below the average spend per creator.

Spend by Creator Segment

This table shows spending by creator segment (e.g., Micro, Mid, Macro), including the number of creators in each segment, total spend, and average spend per creator. This helps you understand costs by segment, enabling more informed decisions when targeting different creator tiers.

Top Spend

This chart highlights the top 10 creators you’re spending the most on.


Section III: Detailed View

In the Detailed View tab, you can toggle between Budgets and Projects to view more information.

Budgets

Under Budgets, you'll see all your budget accounts for the selected fiscal year. For each budget account, the following information will be displayed: Sources, Total Budget, Allocated, Spent, and Remaining.

To edit a budget account, click the icon on the far right of the budget account, and you'll be redirected to your budget settings.

Projects

Under Projects, you'll see the projects with connected budget accounts. For each project, the following information will be displayed: Connected Budgets, Total Budget, Allocated, Spent, and Remaining.

To edit a project's budget, click the icon on the far right of the project, and you'll be redirected to your project settings.

In both tabs, you can view the metrics broken down by quarter by clicking the icon with two arrows. To export this information, click the paper icon.


Section IV: Payment History

In the Payment History tab, you'll see a list of all payments initiated to members, including payment details such as the member's name, payment date, assigned budget accounts, amount paid, and more.
