Importing Products

My product import seems stuck — it’s been showing “Importing” or “Waiting” for a while. What should I do?

If an import appears to be stuck, you can cancel the current import and try again. This will not delete any products that have already been imported.

How can I cancel an import?

  1. Go to Product Fulfillment > Products.

  2. Find the collection with the “Importing” status.

  3. Click the “X” next to the status under the Import Status column.

  4. Click “Yes” to confirm.

Where are the product images pulled from? Can we customize these?

Product and variant images are pulled directly from your Shopify store. At this time, it’s not possible to use a different image within Aspire. To update the image or video, you’ll need to make changes directly in Shopify. For more details, check out this Shopify help article.

Is there a maximum number of products that can be imported?

The maximum limit is 50,000. As you import products, your available limit will be updated.

Is there a maximum number of product variants that can be imported?

There is no limit on the number of variants that can be imported for a product.

Inventory Control & Management

What inventory source is used?

By default, we use Online Sellable Inventory, which returns the total sellable quantity of the product variant for online channels. However, you can choose a different inventory source for your products.

To edit the inventory source:

  1. Click on your initials.

  2. Select Product Fulfillment.

  3. Click the gear icon in the upper-right corner to open your settings.

  4. Select Inventory Control & Management.

  5. Under Inventory Source, select either "Location-Based Inventory" and choose your location(s), or select "All Available Inventory".

How often are product collections synced from Shopify?

By default, collections are not automatically re-synced. However, you can enable an automatic daily sync to keep your products and collections up to date with Shopify. You can also manually sync a collection at any time.

To enable auto-sync:

  1. Click on your initials.

  2. Select Product Fulfillment.

  3. Click the gear icon in the upper-right corner to open your settings.

  4. Select Sync & Data Import Preferences.

  5. Toggle on Auto-Sync from Shopify.

Can creators select products that are out-of-stock?

It depends on your settings. If “Enable Stock Availability Check” is turned on, creators will not be able to select products that are out of stock. If this setting is turned off, creators can select any product, regardless of inventory levels.

To enable the Stock Availability Check:

  1. Click on your initials.

  2. Select Product Fulfillment.

  3. Click the gear icon in the upper-right corner to open your settings.

  4. Select Inventory Control & Management.

  5. Toggle on Enable Stock Availability Check.

Will creators be able to see products that are out-of-stock?

If the setting “Enable Stock Availability Check” is turned on, out-of-stock products will be hidden from the catalog. Here’s how it works:

  • Products are displayed based on the current inventory level stored in our database. If a product has 0 units in stock, it will not appear in the catalog.

  • When a creator opens a product catalog, the first 20 products begin to load. As they load, our system checks the current inventory levels. If any of those products are out of stock, they will be hidden.

    • Note: Because this sync takes about 0.5 to 1 second, creators may briefly see a product appear and then disappear.

  • If a creator clicks on a product, we check the inventory in real-time. If the product is out of stock, the “Add to cart” button will change to “Out of stock”, and the product cannot be selected.

If the setting “Auto-Sync from Shopify” is enabled, product inventory is updated daily.

  • If a product becomes available again in Shopify, it will remain hidden in Aspire until the next day’s sync.

  • To make the product immediately visible to creators, you can manually sync it by clicking the Sync button on the product’s page in the Products tab within Aspire.

If a product has multiple variants and some variants are out-of-stock, will the product still be visible to creators?

If the setting “Enable Stock Availability Check” is turned on:

  • The product will be hidden from the catalog if all variants are out of stock.

  • If at least one variant is in stock, the product will appear in the catalog.

When a creator clicks on the product, they can choose from the available variants using a dropdown menu. If they select a variant that’s out of stock, the “Add to Cart” button will update to “Out of Stock”, as shown below.

Does the minimum inventory level apply to variants?

Yes! If all variants of a product have inventory levels below the minimum threshold you've set, the product will be hidden from the catalog.

If at least one variant meets or exceeds the minimum inventory level, the product will appear in the catalog.

When a creator clicks on the product, they can select from the available variants using a dropdown menu. If a variant is out of stock, the “Add to Cart” button will change to “Out of Stock.”

Are products with the status “Draft” in Shopify visible to creators?

Yes! You can add Draft products from Shopify to a catalog in Aspire. This is a great option if you want to gift products to creators that aren’t yet live on your website.

For a new product launch, how can we send a product to creators if it isn’t live on our site or available in Shopify yet?

You'll need to create the product in Shopify and set the product status to “Draft” so it won’t appear on your live site. Once it's created, you can add the product to your Aspire catalog and send it to creators as part of your campaign.

We don’t track inventory in Shopify. Will this affect our ability to use Product Catalogs?

You can still use Product Catalogs in Aspire, but since inventory isn't tracked in Shopify, you won’t be able to use the inventory settings in Aspire to prevent creators from selecting out-of-stock products or set a minimum inventory level.

Can we set a minimum stock level per product or collection?

Not at this time. The minimum stock level applies to all products added to a catalog.

Creating Catalogs

Can we remove products from the "All Products Catalog"?

No, the "All Products Catalog" is a default catalog that automatically updates with all new products and collections imported.

If you want to control which products creators can select, you can create a custom catalog and share it with them. This allows you to selectively curate the products they can choose from.

Alternatively, if you prefer creators to have access to all imported products, you can use the All Products Catalog, which will give them the ability to select from any products that have been imported.

What is the difference between Manual and Smart selection when creating collection items?

  • A manual collection includes only the products you select. The collection will always contain the same products unless you manually add or remove items.

  • A smart collection uses conditional logic to automatically include or exclude products based on defined conditions. You can set whether products need to meet all or any condition to be included. Products will be automatically added or removed based on the criteria you set.

How are products ordered within a catalog?

Currently, there is no specific sorting order applied to products, and the order cannot be customized.

In which order are product variants displayed to creators?

We display variants in the same order/position as they appear in Shopify. If updates are made in Shopify, the updated order of variants will only be visible in Aspire after a manual re-sync or through the daily sync.

Will creators be able to see changes made to a catalog after the order request has been sent to them?

Yes! As long as the creator has not yet submitted their request, they will be able to see any updates made to the catalog.

Is there a maximum number of products that can be added to a catalog?

There is no limit to the number of products that can be added to a brand catalog.

Can we hide the product price from creators?

Yes! To hide the product price:

  1. Select a catalog.

  2. Click on Customization, then click Page Settings.

  3. Under Product Info, toggle on "Hide price from creators".

Can we hide the product tags from creators?

Yes! To hide product tags:

  1. Select a catalog.

  2. Click on Customization, then click Page Settings.

  3. Under Product Info, toggle on "Hide tags from creators".
