Your Campaign's workflow is the sequence of stages each creator moves through β Brief, Product Catalog, Promo Code, Content, Payment, and so on. The Workflow tab is where you see every member, what they need, and what's next.
How creators move through your workflow
In a new Campaign, every creator sits in exactly one stage at a time. The stage tabs across the top of the Workflow tab show live counts of how many creators are in each stage, and the All tab shows everyone in one place with a Current Stage column.
When you complete the right action for a creator's current status (for example, Review Content when they're in Content), they advance to the next status or the next stage automatically. The Days in Stage column resets each time a creator moves.
You're not boxed in by where a creator currently sits β you can still take any action from any stage when the situation calls for it. See Decoupled actions below.
Standard vs Flexible workflow types
βThis section is only relevant for Projects you created before the new Campaigns engine launched.
New Campaigns don't have a workflow-type setting β they use the new engine where this concept doesn't apply.
If you created a Project before this, Settings β Workflow shows your workflow type at the top with a lock icon. You'll see one of two values:
Standard (Linear) β Members are added only to the first stage. They must complete prerequisites to access subsequent stages. Stage counts show only members currently in that specific stage.
Flexible β Members are added to all active stages simultaneously. They can access any stage regardless of completion. Stage counts show all members with that stage visible.
Why the type is locked
Workflow type was editable until the first member was added to a Project, then it became permanently locked. This was to prevent in-flight Campaigns from changing how counts and creator access behave underneath you. The lock is intentional and cannot be unset.
What this means for you today
Your older Projects continue to work exactly as they did. They share the same updated Settings UI as new Campaigns, but underneath, the Standard or Flexible engine still runs the show for them. Migrated Projects V2 with Flexible workflow type continue to use the linear-flex tracking model. Only Campaigns created from this point use the new linear-tracking-plus-decoupled-actions engine, and they don't need a workflow-type choice.
Default workflow per campaign type
The campaign type you picked at creation loads a default set of stages:
Influencer Content: Brief β Product Catalog β Promo Code β Content β Payment
Product Gifting: Product Catalog β Promo Code β Track Posts
Affiliates: Brief β Product Catalog β Promo Code β Content
Custom Project: No default stages β you configure these yourself in Settings β Workflow.
You can add, remove, or reorder stages at any time. See Editing your workflow below.
Stage statuses
Each stage has one or more statuses that describe what's currently happening for a creator inside that stage. The status drives the next available action.
Stage | Status | What it means | Your action |
Brief | Send Brief | Brief is ready to send | Send Brief |
| Sending Brief | System is dispatching the brief | None β wait |
| Wait for Agreement | Brief has been sent; awaiting creator signature | View Brief |
| Review Edited Brief | Creator made changes to the brief | Review Changes |
| Error Sending Brief | Brief failed to send | Retry Send |
Promo Code | Create Promo Codes | Codes need to be generated | Create Promo Codes |
| Generating Promo Codes | System is creating codes | None β wait |
| Fix Errors | Code generation hit an error | Update Promo Codes |
| Send Promo Codes | Codes ready to share with the creator | Send Promo Codes |
Product Catalog | Send Product Catalog | Catalog ready to share | Send Product Catalog |
| Wait for Request | Creator is selecting products | None β wait |
| Review Order Request | Creator has requested products | Review Request |
| Processing Order | Order is being fulfilled | None β wait |
| Product in Transit | Order has shipped | None β wait |
Content | Wait for Review | Deliverables ready for your review | View Deliverables |
| Review Content | Content is in review | Review Content |
| Wait for Live Posts | Approved content is awaiting publication | View Deliverables |
Track Posts | Wait for Posts | Watching for organic mentions | None β waiting for creator to post |
| Post Detected | Aspire found a post from this creator | Review Post |
Payment | Send Payment | Payment ready to send | Send Payment |
The Workflow table shows the right CTA button for each creator's current status, so you usually don't need to memorize this β just click the button in the Action column.
Decoupled actions: taking action from any stage
Even though each creator is tracked in one stage at a time, you can take any action from any stage. This is what we call a decoupled action.
How to take one
Every row in the Workflow table has a three-dot menu in the Action column. Open it on any creator to see the actions available for stages after their current stage β for example, a creator in Brief can have Create Promo Codes, Send Product Catalog, or Send Payment taken on them directly from the Brief tab.
What happens when you do
The action executes immediately β the creator does not move stages.
A toast confirms what was done (e.g., "Promo code JORDAN20 (20% off) created for Jordan Ellis.").
The result is captured on the All tab, where a column appears for that kind of action (Promo Code, Payment, etc.). Individual stage tabs stay focused on their own data β no extra columns appear there.
The three-dot menu shows a checkmark next to actions already completed for that creator. Full history is on the creator's detail panel.
Stages skip ahead intelligently
If a creator later advances to a stage where you already completed the work, they skip past the now-redundant status.
For example: if you created a promo code for Jordan while they were in Brief, when Jordan advances to Promo Code they enter at Send Promo Codes, not Create Promo Codes β because the code already exists.
Editing your workflow
Open Settings β Workflow to change the stages in your Campaign.
Add a stage β Click Add Stage and pick from the available stage types or one of your custom stages.
Remove a stage β Use the Γ on the stage row. New Campaigns show a confirmation: "Removing this stage will remove it from the workflow. Members currently associated with tasks in this stage will retain their history."
Reorder stages β Grab the drag handle on the left of a stage row and drop it where you want it.
Saving safely
All changes β adding, removing, and reordering β are staged locally until you click Save changes. A dirty-state indicator shows when you have unsaved changes. If you try to navigate to another Settings tab without saving, you'll be asked to confirm so you don't lose work.
Custom stages
When you need a step that isn't one of the built-in stages, create a custom stage. The Custom Stages tab appears in Settings as soon as you've configured one.
A custom stage has:
A name β what you'll see on the stage tab.
Statuses β your own progression states (each with a name and priority order).
Tasks β one or more actions inside the stage, each with its own CTA label, creator access setting, and optional form fields.
A final status β the status that signals the creator is done with this stage.
Pre-built custom stage templates are available via the drawer in the Custom Stages tab if you want a starting point.
Once configured, a custom stage behaves like any built-in stage on the Workflow tab β it has its own tab, count, and CTA buttons.
FAQ
My old Project shows a Workflow Type at the top of the Workflow tab. My new Campaign doesn't. Why? Workflow Type (Standard or Flexible) only applies to Projects you created before the new Campaigns engine launched. New Campaigns use the new engine, where every creator is in one stage at a time but you can still take any action from any stage. There's no choice to make.
Can I unlock my Project's workflow type if I remove all members? No. Once a member has been added, the workflow type is permanently locked even if the Project is later emptied out. This is intentional, to keep counts and creator access consistent.
Can I mix linear and flexible stages within one Campaign? No β workflow type applies to the entire Campaign on older Projects, and new Campaigns don't have a workflow-type setting at all. If you want some stages to feel more sequential, structure the workflow so the strict stages come first.
Why can't I see decoupled-action results inside individual stage tabs? Stage tabs are kept focused on what's relevant to creators currently in that stage. To see every decoupled action across the Campaign, switch to the All tab β the relevant columns appear there.
Can I share custom stages across Campaigns? Custom stages live on the Campaign they were configured on. The fastest way to reuse them is to duplicate the Campaign from the Homepage β all stages, including custom ones, copy over.
