How to Ask Contacts to Update Their Information

Request shipping addresses, rates, and other contact information

Keeping contact information up to date can be challenging, especially as your program grows. Aspire’s Info Update feature makes it easy to request updated information directly from your contacts.

Simply select the contacts you need information from, choose the fields you want them to update, and send them an email with a link to a simple form. Once a contact submits the form, their information is automatically updated in Aspire.

How to Request an Info Update

Step 1: Select Contacts

First, select the contacts you want to request information from.

  1. From the Contact Hub, select the contacts you want to send the request to.

  2. To select all contacts in the current view, click the checkbox next to Name.

  3. Click Actions.

  4. Select Request Info Update.

You can send an Info Update request to individual contacts, multiple contacts, or an entire group.

Step 2: Select the Information to Update

Next, select the fields you want contacts to complete.The information they provide will automatically overwrite the existing information for those fields in Aspire.

For example, you can request contacts to update:

  • Shipping address

  • Phone number

  • Social handles

  • Other contact details

Only select the fields you need contacts to update to keep the form simple and easy to complete.

Step 3: Compose a Message

Write a message explaining what information you’re requesting and why you need it.

Being transparent about how you’ll use the information helps contacts understand why you’re asking for it. For example, if you’re requesting a shipping address to send a product or gift, let contacts know that in your message.

Step 4: Record Response Dates

You can optionally record the date each contact submits their updated information.

This can be useful when you need to track how recently a contact confirmed or updated their information. For example, if you periodically request mailing addresses for gifting, you can use the response date to identify contacts who have updated their address within the past 60 days.

When setting up your Info Update request, Aspire allows you to:

  • Create a new date column to record the response date.

  • Select an existing date column to store the response date.

Each time a contact submits an Info Update form, the selected date field will be updated with the date of their response.

If you don't need to track response dates, click Finish without Recording.

What Do Contacts See?

Contacts will receive a simple, straightforward experience when completing an Info Update request.

  1. They receive your email. The contact receives the message you wrote in Step 3 from your inbox.

  2. They complete the requested information. When they click the Confirm my Information link, they'll be taken to a form where they can provide the requested information.

  3. They receive a confirmation. After submitting the form, they'll see a thank-you message confirming that their information was submitted.

This process allows you to collect updated information from contacts without requiring them to log in to Aspire or update their profiles manually.
