When should I use Groups vs. Tags?

Groups and Tags are two ways to organize and segment your contacts in Aspire, but they’re designed for different purposes.

As a general rule:

  • Use Groups to organize contacts into actionable segments.

  • Use Tags to label contacts with specific characteristics, attributes, or statuses.

Understanding the difference can help you choose the right tool for your workflow and keep your contact database organized.

Groups

Groups are collections of contacts that you can use to organize contacts based on shared characteristics, campaigns, workflows, or other criteria.

Groups are especially useful when you want to take action on a set of contacts together.

You might create groups based on:

  • Level of influence: Nano-influencers, micro-influencers, etc.

  • Niche: Travel, food, fashion, etc.

  • Campaigns: Summer product launch, holiday campaign, etc.

  • Team member: Jenny's Group, etc.

  • Contact type: Ambassadors, influencers, customers, etc.

Once contacts are in a group, you can perform bulk actions on those contacts, such as sending messages, inviting them to a campaign, assigning tags, and more.

Use Groups when you want to organize contacts into a segment that you may regularly work with or take action on.

Tags

Tags are labels that you can apply to contacts to identify specific characteristics, attributes, preferences, or statuses.

Unlike groups, tags are designed to provide additional context about a contact. A contact can have multiple tags, allowing you to capture several different attributes at once.

You might create tags based on:

  • Unique characteristics: Top Performer, Paid Collabs Only, VIP

  • Top social network: Instagram, TikTok, YouTube

  • Action-based: Need to Follow Up, Needs PayPal Info, Needs Review

  • Preferences: Prefers Product Seeding, No Paid Collaborations

Tags are visible internally on the contact's profile, making it easy for other team members to understand important details about that contact.

Use Tags when you want to label contacts with additional information that helps your team understand, identify, or manage them.

  • You can create as many Groups and Tags as you need.

  • Contacts can belong to multiple Groups.

  • Contacts can have multiple Tags.

  • You can filter by Groups and Tags in the Contact Hub.

  • You can sort by Groups, but not Tags, in Social Analytics and Content.

  • For anything you want to see in reporting or sort by in Social Analytics and Content, we recommend using Groups.

  • Groups are best for organizing contacts you want to work with together, while Tags are best for adding context or labels to individual contacts.
