How to Connect Email Account to Aspire

Detailed steps on how to connect an Email to Aspire for communication

Connecting your Gmail or Outlook inbox to Aspire allows you to send and receive communications from your brand email address directly on the platform. It also allows you to invite people to your projects and reach out to new people that you're interested in collaborating with.

We will only sync your emails with members in Aspire, so no need to worry about your personal correspondence showing up. We can even block specific domains from the sync for further privacy, just let us know!

💡 Considerations:

  1. Inbox must have its own password

  2. Cannot be an email alias

  3. Allow time to get the App approved by your administrator

Step-by-step connection instructions:

  1. From your Account Setting > Integrations

  2. Select Outlook on the left-hand side

  3. Click "Connect" or select the + if an account has already been added.

  4. Select between a Shared or Individual email

  5. Next, choose the email account you want to connect.

  6. Please ensure you check off ALL permissions when prompted, as they are all critical to being able to use our Outlook integration.

You may need to request permission to connect the App through your Admin, provide a brief description, and submit. Reach out to your Administrator to confirm when the request is approved, start at Step 1.

Settings to optionally configure after connection:

  • Display Name - Edit this if you want to change the name that is shown to creators when you send them an email.

  • "Mark as read options" - Decide if you want the emails coming in through Aspire to be automatically marked as read in your native Outlook inbox.

  • Signature - Use this text box to edit the signature that you would like included when sending outbound emails through Aspire.

Email Privacy Frequently Asked Questions

What emails are brought into the platform?

Any email message that is sent between a community member and an Aspire user who has sync’ed their email account with Aspire will be brought into the platform. This includes direct messages (user X sends an email to member Y or member Y sends an email to user X) and messages where the member or user is CC’d on the message.

That means that if a community member sends an email to a user whose email is not sync’ed then the email will not be brought in. Similarly, if an email is sent by a user whose email is synced, but not to a member, then the email will not be brought in.

Email is brought in:

  • Sync’ed user sends an email to a member

  • Sync’ed user sends an email where a member is CC’d

  • Member sends an email to a sync’d user

  • Member sends an email where user is CC’d

Email is not brought in:

  • Sync’d user sends an email with no member included

  • Sync’d user sends an email to another sync’d user

  • Member sends an email to a non-sync’d user

  • Member sends an email to another member

How does Aspire know which emails to bring into the platform?

The only emails that Aspire will attempt to bring into the platform are ones that contain the email addresses of community members and brand users.

What other protections does Aspire offer to ensure unwanted emails are not pulled in?

The platform includes a feature called ‘Conversation Privacy’ which can be used to prevent email addresses with the brand domain (ie. “@amazon.com”) from being used in a member email address. By default, your own domain will be blocked.
