How to use Group Applicant Review to curate creator lists for review

Overview

Aspire's Group Applicant Review feature streamlines the creator vetting process by allowing Aspire users to curate creator lists and share them with reviewers outside of Aspire.

Reviewers can use the Applicant Review portal to:

  • Review creator profiles and social performance data

  • View content highlights

  • Add comments and feedback

  • Approve, reject, or mark creators as "Maybe" (based on their assigned permissions)

This feature is intended for brands that require approval from team members outside of Aspire, as well as agencies using Aspire to manage campaigns on behalf of clients.

User Roles & Permissions

There are two types of users involved in the Applicant Review workflow:

Aspire Users

  • Manage groups and enable Applicant Review

  • Add creators to groups

  • Configure which creator information is displayed

  • View reviewer feedback and approval statuses

  • Manage approval statuses directly within Aspire

Reviewers (Approvers and Viewers)

  • Access creator groups through the Applicant Review portal

  • Review creator information and social data

  • Add comments

  • Approve, reject, or mark creators as "Maybe" based on their role permissions

Note: Only users with the Manager Content Approver or Manager Content Viewer roles can access Applicant Review when logged into Aspire. To add a new Aspire user or update an existing user's role, contact our Support team.

Setting Up Applicant Review

  1. Create a new group or use an existing one

    • Add the creators you would like reviewed to the group. These can be applicants, existing members, or creators you discovered while using Creator Search or the @ Mentions tab.

    • You can create multiple groups for different campaigns. We recommend using clear group names to make them easy to identify.

  2. Enable Applicant Review

    • Aspire Users can enable Applicant Review from the group settings.

      • Open the group settings.

      • Toggle on "Show in Group Applicant Review".

      • The group will now appear in the Applicant Review portal for reviewers.

  3. (Optional) Add Additional Columns

    • When reviewers open a group, they will see a table view of creators available for review. The default columns include:

      • Creator Name

      • Instagram Followers

      • Instagram Engagement Rate

      • TikTok Followers

      • TikTok Engagement Rate

      • Status

      • Date Added

    • We can add two additional columns upon request. Any member data field or custom field can be selected. We recommend using single-select fields for the best reviewer experience.

    • Note: Additional columns will appear for all groups with Applicant Review enabled.

    • To request additional columns, contact our Support team.

  4. (Optional) Customize Additional Fields

    • Aspire Users can customize additional creator information displayed during review.

      • Pronouns: Display creator pronouns next to their name by creating a custom single-select field named "Pronouns". Common options include He/Him, She/Her, and They/Them. See this article on how to create custom fields.

      • Attributes: Display up to 5 creator attributes on the right side of a creator's profile.

      • Tags: Highlight specific tags that are relevant to the review process.

        You can select up to 8 tags to display. If a creator has one of the selected tags, it will appear on their profile.

      • Note: Attributes and tags apply across all groups with Applicant Review enabled.

Reviewing Creators

User Roles

Reviewers can access Applicant Review if they have the appropriate Aspire role:

  • Manager Content Approver: Can approve, reject, or mark creators as "Maybe"

  • Manager Content Viewer: Can view creator information and add comments only

Accessing Applicant Review Portal

  1. Login to the Aspire portal here.

  2. From the Home page, select a group under the Applicants section.

  3. Review the creators included in that group. Within the table view, you can sort columns, apply preset filters, search for specific creators, and approve or reject creators directly from the table by clicking the icons next to their name. The green check mark (✅) will Approve the creator and the red "x" (❌) will Reject them.

    Note: The "Maybe" option is only available from the creator detail page.

Reviewing a Creator Profile

Click on a creator's name to open their detailed profile. Here you'll find:

  • Bio: The creator's Instagram bio, if available.

  • Social Handles: Available social handles.

  • Tags and Pronouns: Creator tags and pronouns, if configured.

  • Content Highlights: If an Aspire User has curated specific posts to highlight, those selected posts will be displayed instead of recent content.

  • Key Networks: Creator social handles and follower counts across available networks.

  • Key Social Stats: Creator performance metrics and audience demographics.

  • Recommendation Notes: Displays context provided by the Aspire user explaining why the creator was recommended for the campaign.

  • Comments: Add comments with your feedback, questions, or what you like or dislike. Comments are visible to Aspire users.

  • Approval Status: You can Approve, Reject, or mark the creator as Maybe in the top right-hand corner.

    Note: Reviewers with the Manager Content Approver role can approve, reject or mark a creator as "Maybe". Reviewers with the Manager Content Viewer role can add comments only.


Viewing Reviewer Feedback in Aspire

Aspire Users can view approval statuses and comments directly within Aspire.

Viewing Approval Status

To easily view creator approval statuses:

  1. Open the group.

  2. Edit the table columns.

  3. Add the Brand Approval field.

  4. The approval status will now appear directly in the table.

Approval status can also be viewed from the creator's profile under: Member Details → Custom Fields.

Viewing Reviewer Comments

To view comments from reviewers:

  1. Open the creator's profile.

  2. Navigate to the Overview tab.

  3. Scroll to Applicant Review Comments.

  4. Review the comments and add your own.


Frequently Asked Questions

How will team members be notified that a creator has been reviewed?

Approval and comment notifications are not currently available. Aspire Users should notify reviewers when a group is ready to review. Reviewers should then notify Aspire Users once they have completed their review and added feedback. Aspire Users can respond to comments and ask reviewers to revisit creators if needed.

Can an approved creator's status be changed?

Yes, but the ability depends on the user's access. Reviewers cannot change an approved creator's status after approval. Aspire Users with full platform access can update the status by:

  • Clicking the Brand Approval value in the group table

  • Updating the status from the creator's member details

The status can be changed to Maybe.

If a creator is marked as Rejected or Maybe, reviewers can update the status as needed.

Can the same creator be reviewed in multiple groups?c

Yes. However, approval status applies across all groups where the creator appears.

If a creator needs to be reviewed again, an Aspire User with full platform access can reset the approval status by:

  • Clearing the Brand Approval field in the group table

  • Updating the status from the creator's member details

What happens if a creator is removed from the group?

Removing a creator from a group does not remove their approval status. It only prevents reviewers from seeing that creator in that specific group.

Can an Aspire User remove a group from the Applicant Review portal?

Yes. To remove a group:

  1. Open Group Settings.

  2. Toggle off "Show in Group Applicant Review".

This removes the group from the reviewer portal but does not affect creator approval statuses.

Can creator attributes, columns, and tags be customized per group?

Not currently. Attributes, additional columns, and selected tags apply to all groups with Applicant Review enabled.

If you plan to enable applicant review for multiple groups simultaneously, we suggest using generic fields and tags that are relevant to all your campaigns. If you want to update the fields and tags between campaigns, please reach out to our Support Team for assistance.

How does the Comments section work?

Reviewers can add comments to provide additional context about their decisions, questions, or feedback. Aspire Users can view these comments from: Creator Profile → Overview → Applicant Review Comments.

What data is shown under Key Social Stats?

The following data points will be shown for Instagram, when available:

  • Followers

  • Engagements

  • Engagement Rate

  • Impressions

  • Comments per post

  • Comments per story

  • Audience Demographics: % Women, % from USA, % Ages 18-24, Audience Age and Gender Breakdown

For TikTok, the following data is available:

  • Followers

  • Engagements

  • Engagement Rate

  • Views per video
