Overview
Aspire's Group Applicant Review feature helps streamline the creator vetting process by enabling users to curate lists and share them with others for review. This provides reviewers with a visually engaging way to vet creators, analyze their social stats, add comments, and approve or reject them for campaigns.
This feature is intended for brands that require approval from team members outside of the platform, as well as agencies using Aspire to manage campaigns on behalf of their clients.
Note: Only users with the "Manager Content Approver" or "Manager Content Viewer" roles can access Applicant Review when logged in to Aspire. To add a new user or change a user's role, please contact our Support team.
Setting Up Applicant Review
Create a new group or use an existing one
Add the creators to be reviewed into a group. These can be applicants, existing members, or creators you discovered while using Creator Search or the @ Mentions tab.
You can create multiple groups to facilitate applicant review for all of your campaigns. We recommend naming each group with a clear title for easy identification.
Enable Applicant Review
(Optional) Add Additional Columns
When a reviewer clicks on a group within the portal, they will see a table view of all the creators to review. The default columns will include the following fields:
Creator Name
Instagram Followers
Instagram Engagement Rate
TikTok Followers
TikTok Engagement Rate
Status
Date Added
We can add two additional columns upon request. Any member data field or custom field can be selected for this, however, we recommend using a single select field. These will be the last two columns displayed in the table view.
🚀 To add additional columns, please contact our Support Team. Please note, these columns will be shown for all groups that have been enabled for applicant review.
(Optional) Customize Additional Fields
Pronouns: Include the creator's pronouns next to their name by creating a custom single select field with the name "Pronouns". Typical options include He/Him, She/Her, and They/Them. See this article on how to create custom fields.
Attributes: Highlight creator attributes on the right side of the creator's profile. You can select a maximum of 5 member data fields to display.
Tags: Showcase specific tags. You may have applied a lot of different tags to a member and wish to only expose certain tags that can be helpful during the applicant review process. This setting allows you to highlight up to 8 tags. If a tag matches the tag name you selected, it will be shown on the creator's profile.
🚀 To customize additional fields, please contact our Support Team. Please note, the attributes and tags you select will apply to all groups that have been enabled for applicant review.
Reviewing Applicants
If you have the "Manager Content Approver" or "Manager Content Viewer" role, you can review creators by following the steps below.
Login to the Aspire portal here.
On the Home page, click on a group under the Applicants section. This is where you will find all of the groups that have been marked for applicant review. Each group will contain the creators that have been added for review.
You will see a table view of all the creators to review. You can sort the columns, utilize the preset quick filters, or search for specific creator names.
You can quickly approve or reject creators by clicking the icons next to their name. The green check mark (✅) will Approve the creator and the red "x" (❌) will Reject them.
To view more information for a specific creator, simply click on their name. This will open a detailed creator profile where you can view the following information and select an approval option.
Bio: Their Instagram bio, if available.
Social Handles: Instagram and TikTok handles, if available.
Tags and Pronouns: Personal tags and pronouns, if applicable.
Content Highlights: The creator's most recent Instagram posts. If the creator does not have an Instagram, we will show their TikTok posts instead.
Key Networks: This section shows the creator's social handles across each network and respective number of followers.
Key Social Stats: This section shows the creator's post metrics and audience demographics. By default, Instagram will be selected, but you can toggle to TikTok. We do not currently support YouTube or Pinterest.
Notes: This is where you can add your notes about the creator to share with your team.
Approval Options: You can Reject, Approve, or mark the creator as Maybe in the top right-hand corner.
Note: You can only select the "Maybe" option when viewing a creator's detailed profile after clicking on their name. This option will not be available within the table view.
Viewing Reviewer Notes and Approval
We recommend editing the columns within each group you're using for applicant review to show the fields "Brand Approval" and "Brand Note". This will enable you to see the reviewer's comments and approval status for each creator directly from the table view within the group.
This information can also be found on the member's profile under Member Details on the right-hand side within the "Custom Data" section.
Frequently Asked Questions
How will team members be notified that a creator has been reviewed?
This feature does not currently include notifications. All communication between team members must be managed via email. When a group is ready to be reviewed, we recommend notifying the reviewer by email.
Once a creator is approved, can somebody change their status?
Once a creator is marked as "Approved", the same reviewer or a different reviewer cannot change this. However, any team members with full access to the platform can change the approval status by clicking on the value under the "Brand Approval" column within a group or by going to the creator's member details. The status can be changed to "Maybe" or "Rejected" or removed entirely by clicking "Clear current options".
Note: If the creator was marked as "Rejected" or "Maybe", then the reviewer can come back and change the status as needed.
Can the same creator be reviewed in different groups?
No. Once a creator has been approved, they will be considered approved in all of the groups they belong to. If you need a creator to be re-reviewed, a team member with full platform access can reset their approval status by clicking on the value under the "Brand Approval" column and selecting "Clear current options" or by going to the creator's member details.
What happens if a creator is removed from the group?
If a creator is removed from a group, it does not affect the member’s approval status. It will only impact the reviewer's ability to see them within that group in the portal.
Can we remove a group from the Applicants tab within the reviewer portal?
Yes. To remove a group that was added for review, simply go to the Group Settings and toggle off "Show application review". This will not affect the members' approval statuses.
Can we customize the creator attributes, additional columns, and tags to display per group?
Not at this time. Currently, the creator attributes, additional columns, and selected tags will be applied to all groups with applicant review enabled. If you plan to enable applicant review for multiple groups simultaneously, we suggest using generic fields and tags that are relevant to all your campaigns. If you need to update the fields and tags between different campaigns, please reach out to our Support Team for assistance.
How does the Notes section work?
Reviewers can add comments under the Notes section for each creator to provide platform users with more context into their approval decision or anything else they wish to communicate. These notes will be stored under the field "Brand Note", which can be added as a column within a group or located on each member's profile under Custom Data.
Reviewers can edit their notes by clicking "Edit". Platform users can override these notes or add additional notes. If multiple users will be adding notes, we recommend including your initials before or after your comment.
