BETA: How to Set Up Custom Stages

Need to add a custom action for Creators to complete? Need to add an internal step to your Projects workflow?

Now with Project Flex, Custom Stages allow you to create workflow steps beyond Aspire's default stages, with configurable actions, statuses, and form fields to capture exactly the information they need.

Getting Started


When setting up or editing your Project Workflow, make sure you have selected the Custom Stage option from the drop down list when you Add Stage.

Adding a Custom Stage

  1. Go to Project Settings β†’ Workflow tab

  2. Add a Custom Stage to your Workflow

  3. Select from a template or create a new Custom Stage

  4. Configure the new stage via the Custom Stages tab

Selecting a Custom Stage Template


Use a template for the most common steps needed for a standard creator program. These templates streamline setup and are further customizable as needed.

Welcome Email

When a creator is accepted into a program, you can welcome them into the program with a personalized email. Best used for tailored messaging and more hands on partnerships.

Waiting for Email > Send Email > Sent

For more a more streamlined approach, opt for our Follow up after acceptance automation (no stage required).

Content Rates

To aid in negotiations, you can ask for creators to supply their content rates upfront after they have been accepted into your project! Easily manage which deliverables you need to collect & add a fillable form to the Creator Portal for streamlined collection.

Info Needed > Done

Concept Review

Need to review a concept or script before the creator started creating content? Easily add this stage to your workflow prompting the creator or agent to submit via the Creator Portal.

Wait for Review > Review Needed > Approved > Rejected

Configure Custom Stage Settings


If you are creating a Blank Custom Stage or you want to make edits to an existing template:

Name & Description. Customize the stage name and description either for internal use or creator use based on Creator Interaction

Statuses. Use statuses to mark and track creators within this custom stage.

Add or remove statuses to adjust the substages within the custom stage

Fields. Add any form fields to collect and track information. Available form field types:

  • Free Text

  • Number

  • Yes/No

  • Checkbox

  • Date

  • Single Select

  • Multi Select

  • Upload File

Creator Interaction. Choose if and when the creator should complete the add fields:

  1. Toggle on Enable creator access

  2. Choose which status (substage) the fields should be available

  3. When a creator completes the fields, choose which status should result

Example: Concept Review

The form fields should be available when the creator is in Wait for Review and after their concept has been rejected. When they submit the Concept, they will end up in the Review Needed status (substage)
